About Westwood Works

Westwood Works is an asset-based community development organization dedicated to connecting people, place, and purpose in Cincinnati’s largest neighborhood of Westwood. We achieve this through mini-grants, community events, and real estate development, fostering inclusiveness and celebrating the diversity of our community.

 

Job Summary

We are seeking a creative and organized Events Coordinator to lead the planning and execution of community events. These events include but are not limited to: Westwood Second Saturdays and Westwood Art Show & Wine Festival. This part-time, seasonal role offers the opportunity to make a meaningful impact by fostering connections and celebrating the uniqueness of our community.

The ideal candidate is detail-oriented, energetic, creative, enthusiastic about community-building, adept at managing all aspects of event coordination, and possesses strong multi-tasking skills.

 

Key Responsibilities

Event Planning and Execution

  • Develop, coordinate, and execute community events.
  • Work with the Westwood Works team and events committee to conceptualize events, activities, and logistics.
  • Schedule and run monthly events committee meetings, delegating responsibilities to committee members as needed.
  • Collaborate with the Partnership and Fundraising Coordinator to ensure sponsors are appropriately represented and to engage partners in programming events.
  • Recruit and coordinate food, drink, entertainment, and activity vendors and partners.

Community Engagement

  • Collaborate with sponsors, neighborhood organizations, and local businesses to ensure events benefit the community.
  • Recruit, manage, and track volunteers to support event activities.

Logistics and Vendor Management

  • Coordinate with vendors, performers, and contractors, ensuring high-quality event experiences.
  • Manage event permits, insurance, and other compliance requirements to the full extent of City and State regulations.
  • Manage day-of logistics including but not limited to event set-up, maintenance, tear down, volunteer and vendor communications, and task lists/run of show.

Promotion and Outreach

  • Create and maintain a marketing calendar for events, working collaboratively with the graphic designer to ensure marketing materials are available in a timely manner and social media content is scheduled. 
  • Assist in creating and executing promotional plans, including social media, flyers, and community outreach.
  • Serve as a liaison between Westwood Works and the public to build excitement and awareness around events.

Budget Management

  • Work within established budgets, track expenses, and report financials related to each event.

Evaluation and Reporting

  • Gather feedback from attendees and stakeholders to assess the success of events.
  • Provide post-event reports, including participation metrics, successes, and areas for improvement.

 

Qualifications

  • 3-years minimum proven experience in large-scale event planning and coordination preferred (experience with community events is a plus).
  • Experience working with the City of Cincinnati (events, traffic & engineering, health inspections, and CPD) is a plus.
  • Proven, excellent organizational, time-management, and problem-solving skills.
  • The ability to remain calm under pressure.
  • Strong interpersonal and communication skills, with a passion for working with diverse groups of people on inclusive events.
  • Ability to work independently, efficiently, effectively, and collaboratively in a fast-paced environment.
  • Proficiency in basic computer skills, including email, spreadsheets, and social media platforms.
  • Flexibility to work evenings and weekends when required for events or meetings. (approximately 1-2 evening meetings a month, plus event dates)

 

Position Details

  • Compensation: $28 an hour. Equates to approximately $11,000 total over (26) weeks. We anticipate this will include: 
    • Westwood Second Saturday – Pride (June 14, 2025)
    • Westwood Second Saturday (August 9, 2025) 
    • Westwood Art Show & Wine Festival (September 13, 2025, tentatively) 
    • A new, weekly recurring small event series that will not require significant planning or the Events Coordinator to be on-site (starts in June and runs through September)
  • Hours are not evenly distributed, as some weeks will require more or less, depending on proximity to the event date. Contract Period: March through mid-September 2025
  • Fully remote work environment, including flexible days and hours except on event days when specific hours will be required at event locations in Westwood.

Important Note: This role is a contract position, which means the selected candidate will work as an independent contractor rather than as an employee of Westwood Works. To fulfill the requirements of this position, applicants must:

  1. Have or establish their own LLC: Candidates should have a registered Limited Liability Company (LLC) or equivalent business entity to provide services under this contract.
  2. Maintain appropriate insurance: Contractors must carry their own liability insurance to cover their business activities. Proof of insurance will be required before the start of the contract.
  3. Handle their own taxes: As an independent contractor, you will be responsible for managing your own tax obligations, including withholding and filing taxes. Westwood Works will not deduct taxes from your payments but will issue a 1099 form for tax reporting purposes.
